Privacy Policy

Last updated:

This policy explains in plain language how GEOWAI handles your personal data on this site and in the registration form. It is based on the Law of Georgia on Personal Data Protection.

This English text is a translation. If it differs from the Georgian version, the Georgian version applies.

In short

  • We collect only what you enter in the form: your name, phone number, field of work and phone model.
  • We use this data to review your application and contact you.
  • We do not sell it or use it for advertising.
  • We delete applications automatically after 12 months.
  • The site uses no cookies, visitor analytics or advertising services.
  • You can ask to see, correct or delete your data at any time.

1. Who is responsible

The controller responsible for processing your data is:

Name
GEOWAI

In this policy, “we” and “GEOWAI” mean this controller.

2. What data we collect

When you send the registration form, we store:

  • your first and last name;
  • your phone number;
  • the field of work you choose from the list;
  • your phone model;
  • the page language and the time of sending, which are recorded automatically.

Filling in the form is your choice. All four fields are required: if you leave one out, we cannot accept the application. Nothing else follows from that.

Through this site we do not collect videos, bank details, personal ID numbers or your location.

When you open the site, the hosting provider automatically records technical data: your IP address, browser type, the requested page and the time. This data serves the site’s operation and security, and we do not link it to your application.

3. Why we process your data

  • Reviewing your application and contacting you. We need your name and number to get in touch. Your field of work helps us choose suitable tasks, and your phone model tells us whether it can record video at the required quality. Legal basis: reviewing your application and concluding an agreement at your request (Article 5(1)(j) and (b) of the Law).
  • Avoiding repeat applications and protecting the site. We accept one application per number, and we use technical data to detect outages and abuse. Legal basis: our legitimate interest in keeping the list of applications accurate and the site secure (Article 5(1)(i)).
  • Meeting legal requirements. We process data for this purpose only when the law obliges us to (Article 5(1)(d)).

We do not use your data for advertising. Team members review applications: we make no solely automated decisions about you and we do not profile you.

4. Who can access your data

Only the GEOWAI team members who need your data to review applications can see it. Service providers also process it on our instructions (as processors):

  • Supabase Pte. Ltd. (Singapore, privacy@supabase.com): the database where applications are stored;
  • Vercel Inc. (USA, privacy@vercel.com): hosting, through whose servers the site opens and the form is sent.

We share data with anyone else only when the law obliges us to. We do not sell it or give it to other companies for their own purposes.

5. Where your data is stored and processed

Applications are stored in a Supabase database in Germany (Frankfurt) and are mainly processed there. Germany is on the list of countries with adequate data protection safeguards approved by the General Auditor of the State Audit Office of Georgia.

Supabase Pte. Ltd. is registered in Singapore and also uses other companies for infrastructure and technical support, mostly in the USA. Under its data processing agreement, in exceptional cases where this is needed to provide the service or comply with the law, your data may also be accessed from these countries. Singapore and the USA are not on that list, so such cases are covered by the EU Standard Contractual Clauses included in the same agreement. For our part, we do not share applicants’ data in technical support requests.

The site runs on Vercel Inc., registered in the USA. The form is processed on its server in Frankfurt, while technical data (IP address, browser type, requested page and time) may be processed in the USA or other countries where Vercel or its sub-processors have infrastructure. The USA is not on that list. Vercel describes how it handles data in its privacy notice.

6. How long we keep your data

  • We delete your application automatically 12 months after it is sent.
  • If you join the project, we separately keep the data needed for our cooperation, for its duration and for as long as the law requires.
  • If you ask us to delete your application, we do so within 10 working days, unless another legal basis requires us to keep it.
  • Providers delete technical logs and backups automatically when their retention periods end.

7. Your rights

You have the right to:

  • be told what data we process, why, and on what basis;
  • see your data and receive a copy of it;
  • have incorrect or incomplete data corrected, updated or completed;
  • have processing stopped and your data erased or destroyed;
  • have your data blocked;
  • receive the data you gave us in a machine-readable format, or have it passed to another controller, where technically possible;
  • not be subject to a solely automated decision;
  • withdraw your consent at any time, if we process your data on the basis of consent;
  • complain to the State Audit Office or a court.

To use a right, write to us at info@geowai.ge. Requests are generally free. We reply within 10 working days, or within 3 working days for a blocking request. For requests for information or a copy of your data, this period may be extended by up to 10 working days in exceptional cases, and we will tell you straight away if it is. To avoid giving your data to someone else, we may ask you to confirm your identity.

8. How we protect your data

Your connection to the site is encrypted (HTTPS), and the database stores data in encrypted form. The site can only add new applications: existing ones cannot be read, changed or deleted through it. Only authorized team members have access to the database.

No system can be fully secure. If an incident occurs, we will notify the State Audit Office as the law requires, and you as well if the incident creates a risk of significant harm to you.

9. Cookies and browser storage

The site uses no cookies, visitor analytics or advertising services. All files, including fonts, load from our own site.

The only thing we keep in your browser is your choice of light or dark theme, and only if you change the theme yourself. This entry (localStorage) is never sent anywhere, and you can delete it in your browser settings.

10. Videos and payments

This policy covers only the site and the registration form. We will give you separate terms for processing videos and bank details before you join the project.

11. Age

The project is for people aged 18 or over. If you believe a minor has sent us an application, write to us and we will delete it.

12. Changes to this policy

When this policy changes, we update this page and the date at the top. If a change materially affects data you have already given us, we will also tell you separately.

13. Contact and complaints

For questions and requests, write to us at info@geowai.ge.

If you believe your rights have been violated, you can turn to the State Audit Office of Georgia, which supervises the lawfulness of personal data processing, or to a court.
